Abstract:
The secretary of the board was charged with maintaining the official record of Board of Trustee activities and with facilitating communication between board members and with other institutions. Contains minutes, correspondence, financial reports, subject files.

Per the Amherst College records release policy, Board of Trustees Records are restricted for a minimum of fifty years. Once open, selected items may be restricted to protect the privacy rights of individuals or for other legal reasons. Particularly fragile items may also be restricted.

Requests for permission to publish material from the collection should be directed to the Archives and Special Collections. It is the responsibility of the researcher to identify and satisfy the holders of all copyrights.

Biographical / Historical

The responsibilities of the secretary of the board involved keeping an official record of the activities of the Board of Trustees. The secretary also often acted as a liaison between members of the board and with outside institutions.

The secretaries between 1900 and 1973 are as follows (dates of tenure in parentheses):

Williston Walker (1900-1919)

Edward Tuckerman Esty (1919-1929)

Frederick Scouler Allis (1929-1941)

Eugene Smith Wilson (1941-1947)

James Alfred Guest (1947-1973)

Scope and Contents

This record sub-group contains material maintained by the secretary of the Amherst College board of trustees. The series are organized chronologically by the individual holding the position of secretary. The tenures of Edward Tuckerman Esty and Eugene Smith Wilson as secretary are not directly reflected in this sub-group. Series consist of correspondence, meeting minutes, committee files, and more general subject files. While there may be some overlap with other sub-groups in the Board of Trustees record group, these are not official records. Rather, they should be considered materials accumulated by the secretary in the course of conducting trustee business.

The collection is organized into three series, arranged chronologically by tenure. The date range of a series is often wider than the dates of a secretary's tenure due to a secretary inheriting papers of his predecessor.

The three series are as follows:

Series 1: Williston Walker, 1900-1919

Series 2: Frederick Scouler Allis, 1919-1932

Series 3: James Alfred Guest, 1919-1932

SERIES A: WILLISTON WALKER includes personal copies of (occasionally annotated) minutes and correspondence to and from Willston Walker, who served as secretary of the board from 1900-1919. Of note are materials relating to the Instruction Committee involving Walker and President Meiklejohn (as well as other board members) concerning the departure and retirement of faculty members in 1918 and 1919. There was some concern as to how these departures were handled, particularly from the departments. Sub-series A contains personal and trustee correspondence and notes. Sub-series B contains typescript and manuscript meeting minutes and Sub-series C contains reports from various committees.

SERIES 2: FREDERICK SCOULER ALLIS, contains mostly notes and reports for executive committee meetings during Allis's tenure as secretary. This series is divided into four sub-series: Sub-series A: Executive Committee, includes other versions of official minutes for the executive committee of this period. These minutes can include other notations or related correspondence along with annotations on the minutes themselves. There are a number of instances of manuscript drafts. A handful of folders at the end of the sub-series includes correspondence, by-laws, and financial reports. These are arranged chronologically. Sub-series B contains trustee meeting minutes. Sub-series C: Committees, is arranged alphabetically by the committee's charge. Sub-series D: Project Files, is arranged alphabetically by topic.
